Ad leads cool off in minutes

Most med spa leads come from Facebook and Instagram ads, and people fill out those forms while scrolling. If nobody calls for a few hours, they've moved on, forgotten which spa it was, or booked with the one down the street that called back sooner. Your front desk is busy checking clients in and out, so ad leads wait.

What the receptionist handles

  • Calls every new ad lead within seconds, mentions what they asked about, and books a consultation or treatment while they're still interested.
  • Answers common questions about treatments, pricing, specials, and what to expect, using only the details you give it.
  • Answers your line 24/7, so evening and weekend callers get booked instead of reaching voicemail.
  • Sends the details to you with a calendar invite for every booking.

Careful about what it says

It never gives medical advice. Questions about whether a treatment is right for someone, medications, or side effects get the same answer every time: that's something the provider covers at the consultation, which it's happy to book. It only quotes prices and specials you've listed, so you stay in control of what's promised.

How it handles your leads

  • Calls every new lead within seconds of the form being submitted, from a local number that's yours.
  • Tries three times if they don't pick up (a few minutes later, then a few hours later), and leaves a short voicemail on the last try.
  • Only calls during your calling hours (8am to 9pm in your time zone by default). Leads that come in overnight get called first thing in the morning.
  • Answers your number 24/7 when people call back, and can transfer to you or take a message.
  • Filters junk for free: fake numbers, gibberish names, throwaway emails, and duplicates aren't called and don't count.

Lead sources it works with

Facebook and Instagram lead ads, Google Ads lead forms, your website's booking or contact form, and any CRM that can send a webhook or an email. Appointments arrive as calendar invites. If you use a dedicated spa booking system, your team can copy them in, or block your busy times with a calendar link so the receptionist only offers times that are actually open.

What it costs

$1,500 to set up and $1,500 a month, with 1,000 new leads a month included. Junk and duplicate leads don't count toward that, and each lead counts once no matter how many times we call it. If you need more, add 500 leads for a month ($750) or for every month (+$500/month). Cancel anytime from your billing page; it runs to the end of the month you paid for.

Setup takes one sitting: paste your website and our AI fills in your services, prices, service area, and FAQs for you. Then you connect your lead forms with a 5-minute guide, send a test lead, and we confirm it arrived before you pay.

Questions

Is it HIPAA compliant?

We're not set up as a HIPAA business associate, so the receptionist is built for booking cosmetic consultations, not collecting medical history. It doesn't ask health questions, and it sends medical questions to your provider at the consultation.

Can it mention our current promotion?

Yes. Add your specials in your settings and it brings them up when they're relevant, especially for leads who came from that ad.

Will it book treatments directly, or only consultations?

Whatever you choose. Many spas book consultations for injectables and lasers, and book simpler services directly.

Does it sound robotic?

It uses a natural voice that you pick from several during setup. If anyone asks, it says it's your spa's virtual assistant.
